DIVISION ADMINISTRATIVE ASSISTANT

REPRESENTATIVE DUTIES

  • Provide administrative assistance for the Dean of Occupational Education, faculty and staff; independently coordinate the day-to-day administrative operations of the Division office, interacting with the public, students, administrators, faculty and staff.
  • Compile and maintain confidential information including evaluations of faculty and staff, hiring information, grievances and complaints.
  • Serve as a liaison between the Division Dean's office, the College, District personnel and the public; interpret, implement and disseminate District and Division policies and procedures to the public, faculty, students and staff; relieve the Dean of routine administrative duties.
  • Monitor division budgets and fiscal management processes; initiate and track expenditures; order office and instructional supplies as needed and maintain appropriate inventory.
  • Assist in the preparation and maintenance of Division curriculum; coordinate the preparation of class schedules including computer input, schedule conflicts and disputes and informational brochures; schedule and maintain a calendar of events, meetings and workshops.
  • Train and direct student assistants and other part-time and temporary personnel.
  • Assist in gathering and processing forms related to hiring new faculty; coordinate record-keeping for faculty and staff absences; initiate, process and track leave reports; prepare contracts with proper paperwork for instructors to successfully complete the hiring process.
  • Compile and organize information for specific projects, reports and requisitions; design various Division forms and reports.
  • Operate a computer and related office equipment; administer the maintenance of office equipment.
  • Communicate with counselors and other staff regarding Division courses, changes, policies, prerequisites and future schedules.
  • Maintain a variety of reports, records and files; process payroll input documents.
  • Perform related duties as assigned.



QUALIFICATIONS*

  • Any combination equivalent to: Graduation from high school, including or supplemented by courses in secretarial skills and three years of increasingly responsible secretarial and clerical experience.
  • Type at 55 words net per minute from clear copy.
  • Must be sensitive to and understanding of the diverse academic, socioeconomic, cultural, disability and ethnic backgrounds of community college students and the community-at-large.
  • Experience directing the work of others desired.

CONDITIONS OF EMPLOYMENT

Regular, full-time, 12 months per year position. Starting monthly salary: $2,545; Range: $2,545 to $3,092 (5 steps). District-assisted health and welfare coverage for employee and dependents includes medical, dental, and vision. District-assisted life, accident and income protection insurance is provided for the employee only. Must become a member of the California School Employees Association (CSEA) and the Public Employees' Retirement System (PERS). The District pays the classified employee's contribution to PERS.



All offers of employment are contingent upon approval by the Board of Trustees, receipt of official transcripts verifying the degree stipulated under the minimum qualifications section, employment verification, and any other pertinent documentation.

Individual selected is required to be fingerprinted and must submit to a tuberculosis examination.
